You Are the Custodian of Medical Records

As a reminder, whether you utilize bNOTES – Bardavon’s workers compensation guided system – for treatment or not, you as the provider remain the custodian of your medical records. If you are ever subpoenaed for medical records, you can print your notes directly from bNOTES.

Are you a bNOTES provider and have a request for multiple dates of service?  Please contact [email protected] for assistance to print notes to a pdf. 

For Preferred non-bNOTES providers, simply copy notes from the patient’s chart and submit.

If a subpoena or lawyer has asked for a billing ledger or itemized statement, you may be able to produce this information from your EMR system, or you may contact the adjuster on the case for payments made for specific dates of service. This is not something Bardavon provides.

Clinical Expectations

Thank you for partnering with Bardavon to provide excellent care for our injured workers and facilitate their successful return-to-work. Our clients are relying on you as the treating therapist to clearly document progress with therapy, including objective measures, functional abilities relative to job requirements, and any concerns or barriers to progress. As a key member of the care team interacting closely with the injured worker, your input and insights are valuable, and clear and timely communication is critical.  

To optimize care for the injured worker, Bardavon asks that you: 

Timely Documentation: Submit all documentation (initial evaluation, daily notes and exercise flow sheets, progress notes, discharge notes) within 48 hours. 

Continuity of Care: As the treating therapist, please ensure continuity of care by reaching out to the referring physician for new orders if additional therapy is indicated. 

Monitoring Authorized Visits: Monitor the number of authorized visits to avoid treating over-auth and reach out to Bardavon and/or the physician with at least 2 remaining visits if continued care is recommended. 

Managing Cancellations/No-shows: Document all cancellations/no-shows and ensure that the injured worker is rescheduled to avoid lapses in care.

Day Rate vs. Daily Maximum Reimbursement

To maximize reimbursement and ensure stakeholders understand the treatment taking place during an injured workers therapy visit, it is crucial to document and bill for all services provided. The term “day rate” is commonly used but not fixed;  there are no flat rates. Most often there is a daily maximum in place, meaning your earning potential is based on documentation and billing. Therefore, its essential to document and bill for all services rendered to maximize your reimbursement.
